Executive Assistant, Pandemics
Jeff Skoll launched the Skoll Global Threats Fund in 2009 to
tackle the world's most pressing issues. The Skoll Global Threats
Fund has a mandate to drive large-scale global change on the most
critical issues facing mankind. With a focus on five global
threats, the organization identifies and supports innovative
high-impact initiatives to combat climate change, water insecurity,
pandemics, nuclear proliferation, and the Middle East conflict.
Position Description This is an
opportunity to partner with our very vibrant and charismatic Chief
Medical Officer (CMO) who leads a growing team in their quest to
"End Pandemics During Our Lifetime." He is world-renowned and
highly respected and it will be the EA's job to help keep him 'on
course' through his very demanding and unpredictable days. As a
result, this role will be very important and central to this
foundation which is currently headquartered at the Presidio in San
Francisco.
Primary Duties and Responsibilities
Working closely with the Pandemics Team, the EA will have the
following responsibilities:

CMO Management

Manage the CMO's ever-changing calendar
Arrange complicated worldwide travel
Manage CMO's email account to include but not limited to:

Drafting responses, making sure that, when needed, the
appropriate research has been conducted
Taking ownership of action items and follow ups

Financial reporting (eg expense reconciliation,
reimbursements, budgets, etc.)

Relationship Management

Establish, maintain, and promote effective communication and
smooth working relationships with the board of directors and the
chairman of the board; assist CMO by making sure he is updating the
board on a regular basis
Liaise with executives from sister organizations, funders,
high-net worth thought partners, grantees
Serve as bridge to universities, government entities, financial
institutions, associations, vendors, general public
Respond and accommodate requests from print media, television
and radio reporters, conference organizers
Establish, maintain, and promote smooth working relationships
with teammates by overseeing the overall culture and morale
Serve as the team's 'center of gravity' including mentoring
junior employees

Information Management

Prepare reports to the Board of Directors, pandemics team, SGTF
directors, funders as needed (eg updates, backgrounders,
presentations, etc.)
Highlight, research, analyze, and recommend action items when
appropriate (eg late breaking news on the re-emergence of
Ebola)
Compile briefing materials for meetings, trips, and other
staffing activities
Database entry and maintenance (eg Salesforce)

Special Events Management

Assist in the preparation for and conduct of special events
(eg conferences, convenings, team events, off-site meetings,
etc.)
Tackle special projects as they arise

Administrative Functions

Various office administration duties (eg filing, copying,
greeting guests, etc.)
Coordinate meetings (eg meeting prep, ordering and setting up
lunches, office clean up, etc.)

Knowledge, Skills, and Assets

Ability to multi-task, work with multi-stakeholders, maintain
exceptional attention to detail, and proactively manage project
timelines and deliverables
Outstanding communication skills that manifest in high quality
written documents, presentation and meeting materials, and verbal
communication
Consensus builder who is tactful in interactions with partners
and grantees
Independent and self-motivated, able to take initiative in an
entrepreneurial environment

Excellent interpersonal skills with positive attitude; desire
and ability to work in a collaborative team environment
Ability to problem-solve and find creative solutions
Self-starter with the ability to work independently
Willingness to work with remote partners, with limited
opportunities for travelAbility to handle highly confidential information with
discretion
Strong working knowledge of Word, Excel, PowerPoint, and Google
tools
Education and Experience

Minimum of 8+ years of relevant work experience supporting
c-level executives
Bachelor's degree required
Experience working at a Foundation and/or a start-up
preferred
Experience working with international contacts preferred
Strong database experience preferred
Compensation
This is a Full time 6-month contractor position with the
possibility to transition into a Full time position.
